This role will include:

  • Management of project contract administration staff
  • Contract administration of the project, the head contract and subcontract packages, and all other project procurements
  • Maximisation of value recovery, cost control and cash management on projects
  • Responsible for all contract issues on projects including subcontract letting, variations, progress claims and contract correspondence
  • Budget management and reporting of commercial status, risks and issues to the management team
  • Negotiation with clients, contractors, legal advisors and company management
  • Informing the Project Manager and the Contracts Manager of any contractual matters that present risk or opportunity to the Company
  • In undertaking your role you must maintain the ability to access the project work site either permanently or at intervals required by the project as mandated by the Directors

 

Head Contract Administration

  • Ensure that the Head Contract is administered and managed in accordance with the terms and conditions of the Contract Documents and all other required procedures
  • Ensure that all notices and the like are prepared and forwarded to the client as prescribed by the Head Contract and within the nominated timeframes
  • Prepare, or supervise preparation of Head Contract claims for variations, delays and other contractual claims for review and approval by the Contracts Manager, and submit them to the Client’s nominee in accordance with the requirements of the Contract
  • Coordinate the preparation of reports to the clients as required
  • Prepare, or supervise preparation of progress claims to the client and monitor receipt of payment
  • Assist to update and monitor contract program and ensure compliance with the Contract
  • Identify program risks and ensure contractual entitlements are protected
  • Establish and maintain project contract registers
  • Ensure site staff comply with corporate procedures
  • Administrative duties in line with roles and responsibilities.

 

Subcontract Administration

  • Prepare, or supervise preparation of subcontract trade packages, call tenders and prepare summary reports for award
  • Participate in trade package negotiations and settlement of subcontracts
  • Ensure that all Subcontract Agreements are properly executed prior to making payments
  • Ensure all required documentation as requested in the Subcontract Agreements has been provided by the Subcontractor i.e. relevant insurance, ABN & GST registration
  • Evaluate or supervise the evaluation of all subcontractors claims for payment, variations, delays and other contractual claims and make recommendations in respect of same to the Contracts Manager
  • Ensure all notices required under the subcontract are prepared and forwarded to subcontractors as required
  • Ensure that all subcontractors claims are properly evaluated and responded to, and that all payments to subcontractors are made in accordance with the provisions of the Subcontract
  • Ensure that all subcontractors are finalised in accordance with the requirements of the Subcontracts before releasing final payments

 

Financial Control and Reporting

  • Prepare, or supervise preparation of, Head Contract budget and cost code breakdowns for approval prior to inputting contract details and project budget into the job costing system
  • Coordinate the input of commitments/orders and the production of subsequent reports, ensure all invoices and claims are correctly coded prior to entry
  • Prepare, or supervise preparation of, monthly forecasts on a cost code basis, including estimated cost to complete
  • Prepare, or supervise preparation of, updated monthly cash flow and liquidity information

 

Key Attributes and Skills:

  • Recognised and relevant qualifications and / or equivalent experience (approx. 7 years).
  • Complete understanding of:
    • Construction materials and methods
    • Contract law
    • Management skills
    • Risk management and negotiation skills
  • Sound knowledge of:
    • Contract administration principles and procedures
    • Managing time and resources effectively
    • Management skills
